OnLine Timesheet Help
The OnLine Timesheet screen is divided into two sections, the Top (maroon background) and the Bottom (white background). |
After you log on, you will see two buttons in the Bottom screen. One says "Add More Records" and the other says "Display Your Timesheet." If you click "Add More Records," the Top screen will display the Add Records Dialog. If you click on the "Display Your Timesheet" the Full Timesheet will be displayed. This shows all of your records and your total time. |
What Is A Record? |
A record is a unit of information about work you have done. It has three elements, i.e. Task (a description of the work done), Time (the amount of time spent doing the task), and Date (the date on which the task was done). On the Add Record Dialog, there is a field called "If Other, Please Describe" which is used for you to input your own description of the task if your task does not match any descriptions in the Task drop-down menu. |
The Pro Bono Program does not require that you be overly specific in reporting your time. By the same token, some degree of specificity is required in order for your work to be evaluated properly. You are asked to use your own best judgment in reporting your time. If, for example, you spend four hours on a legal research project, but during that four hours, you also do some clerical work and speak with a client, it is generally sufficient just to report the four hours as legal research. When you submit hours to the server, you certify that all information you give is accurate. Misrepresentations on your timesheet will be reported to the Dean of the Law School and may subject you to losing your Pro Bono credit and disciplinary action. |
How to add Records? |
When you input a new record on the Add Record screen, it is best to go left to right (i.e., start with Date). Enter the date in the mm/dd/yyyy format. Next, select the amount of time. Time is expressed in decimal fashion, e.g.:
One hour= 1.0
One hour, fifteen minutes=1.25
Two hours, forty-five minutes=2.75, etc.

Next, you select a Task from the drop-down menu. If the work you did does not fall under any of these categories, select "Other" and then write in a very brief description in the "If Other" field. If you do select a task from the drop down menu, you do not need to enter anything in the "If Other" field.
Next, click "Submit." Your record will be saved to the server and the Bottom screen will confirm the record you have entered.
You can return to the Top screen and enter another record right away. When you click on the Date field, you will notice that the Add Record dialog will be cleared (like a "Reset" button), but the date will remain the same as in the last record you entered. This is so you don't have to re-enter the date every time you put in records for a given day's work. |
Display Your Timesheet |
You can display your full timesheet at any time by pressing the "Display Your Timesheet" button. Your entire timesheet will appear in the Bottom screen. You will notice at the top of your timesheet a field called "Your Total Hours" this is the total of all records you have entered. This number is saved to your profile (see "Logout and Profile" below) and is used to determine if you have satisfied the Pro Bono requirement.

Modifying and Deleting Records |
To modify or delete records, make sure that you are in the full timesheet display (i.e., you have pressed "Display Your Timesheet"). Although your timesheet looks like a standard input form, you cannot modify or delete any of the data by clicking in the field and re-typing. If you try to do this, you will see that these fields are read-only. Instead, you must click on either the modify or delete buttons on the far-right side of each record.
Clicking modify will display the single record to be modified in the Bottom screen. Make whatever changes you need and press "Submit." A confirmation screen will appear, showing you the record as modified.
Clicking Delete will display the single record to be deleted in the Bottom screen. Press "Delete the Record" and your record will be deleted. |
Logout and Profile |
When you finish entering records, you must logout. This is how your hours get saved to the server and how you get credit for your work. To logout, find the "Save & Logout" button on the full timesheet screen. When you press this button your profile will appear. The profile contains all data that is in your file with the Pro Bono office. Every time you logout, please take time to ensure that all of your information is correct. You are responsible for keeping this information up to date. If you need to make changes, do so at this point.
You will notice at the bottom of your profile is a field showing your updated hours (i.e., the previous total hours saved to the server plus what you have just entered). Click Submit to save your update hours and other information to the server. Your modified profile will then appear on the screen for confirmation purposes. Click "Logout Completely" and you are done. |
