Loyola Grants and Research Protocol
Every grant is a contract between the grantor (government agency, foundation, or corporation) and the university. For this reason every grant proposal must be approved by responsible university administrators in order to make sure the proposed project is feasible and is consistent with university, college and departmental goals and practices. Faculty, staff, and students seeking external grant funding for research or community service projects must apply to the Grants & Research Office for university approval. In the case of a student, the student will apply through the faculty member directing the project. It should be mentioned that the Grants & Research Office provides guidance and assistance at every step of the grant proposal process, not just in seeking university approval.
Steps in the process.
- The faculty/staff/student (proposal writer) should inform the Office of Grants and Research at the earliest opportunity that he/she intends to submit an external grant proposal.
- If research on identifying potential sponsors of the project is needed, the Office of Grants and Research staff will guide faculty/staff/student in conducting the research.
- When a potential sponsor is identified, the Office of Grants and Research staff will seek the approval of the Institutional Advancement Office, if the potential sponsor is a private foundation or corporation. (Under no circumstances should faculty, staff or students contact a potential sponsor before seeking approval.)
- The Office of Grants and Research staff and proposal writer will develop a project budget and begin work on a draft proposal narrative.
- The Office of Grants and Research staff will complete the GRANTS PROPOSAL REVIEW form (with budget and programmatic information) and begin circulating the form for signatures. (This process must begin at least ten working days before the proposal deadline.)
- After all responsible university administrators have approved the project the proposal writer will develop the final proposal for submission.
- The final proposal must be submitted to the Grants & Research Office a minimum of one working day before the submission deadline to allow for duplication and express mailing.
