Academic Affairs

The primary responsibility of the student is to assist each of the staff members of the Office of the Provost with clerical assignments. The clerical responsibilities of the student may include the following:

  • Pick up and delivery of mail
  • Hand deliveries and pick ups from various offices on main campus and the Broadway campus
  • Typing of correspondence, forms, labels, special documents, etc., using an office computer and/or typewriter
  • Filing
  • Assisting with set-up of meetings and special events 
  • Making copies and assembling materials
  • Anything else directly related to office/clerical duties

    Qualifications:
            
  • Must be energetic and enthusiastic
  • Computer literate and proficient in Microsoft Word and Excel
  • Must have knowledge of the buildings on campus or at least willing to learn
  • Must be willing to follow basic office dress code   
  • Must have available work hours between 9:00 a.m. and 4:45 p.m.  
  • Must be able to maintain strict confidentiality
  • Must be dependable and punctual

The student will be expected to check with each staff person for daily assignments. Once the student has completed all necessary work for the office, he/she may use their time for study, research on class assignments, and/or completion of homework. Personal phone calls and visitors while on duty must be kept to a minimum.

Academic Resource Center

The Academic Resource Center provides tutoring across the curriculum and a broad range of other academic support services free of charge to all Loyola students. Tutors will work one-on-one with students in a specific subject area. Flexible work hours. Tutors must have a minimum overall GPA and a minimum GPA in the subject area that they tutor and must participate in our tutor training sessions. Work-study students may also be needed to occasionally deliver and pick up accommodated tests across campus.

Admissions

The Office of Admissions offers students a variety of opportunities to meet the required commitment for the work-study program. Our office is a fast-paced, dynamic place to work where students are exposed to state of the art technology, advanced marketing and recruitment techniques, and the highest-level University faculty and staff.

An assignment in the Office of Admissions will include general office responsibilities where you will gain valuable experience working on computers, speaking with prospective students on the telephone, giving tours of the campus, and working closely with the professional staff. Boggs Center
Learn more about literacy and its personal, socioeconomic, and political implications . . .

Student Workers will:

  • Receive and provide general information for telephone, mail and walk-in requests for Center resources.

Chemistry

Job 1:

The Chemistry Department is looking for responsible students to aid in classroom setup.  The student is responsible for helping prepare, setup and breakdown the General and Organic Chemistry labs weekly.  Additionally, the student will help maintain the organization of the Chemistry Stockroom.  Students majoring or minoring in Chemistry are preferred but it is not a prerequisite.  Computer literacy and good organization skills are a plus.

Job 2:

The Chemistry Department is looking for a responsible student to aid the Administrative Assistant.  The student will be responsible for helping the Administrative Assistant with odd tasks.  This includes but is not limited to:  running on campus errands, filing and typing.  Computer literacy and good organization skills are a plus.

Child Care Center (The Whelan Children's Center)

The Whelan Children's Center offers a high quality childcare program for the children of the faculty, staff, students and alumni of Loyola University New Orleans. Student workers will assist the staff of the Dean's office. Responsibilities include, but are not limited to: delivering, picking up and distributing mail twice a day, making campus runs, photocopying, filing, computer work, typing, and answering the telephone. They will also assist in special projects emanating from the Dean's office.

College of Music & Fine Arts

Students employed at the College of Music may work in the Dean's Office, the electronic music laboratory, Campus Radio Station, and performance hall. Student workers are assigned to various professors to assist them as needed.

Radio Station: Responsible for assisting with operations of the campus radio station, under the supervision of the faculty advisor. Cleaning the studio facilities; auditing programming calendar; updating the music library; exploring community partnerships; designing promotional materials; updating web sites; responding to internet inquiries and telephone calls. Basic knowledge of computer usage, internet web browsers, and multimedia software (iTunes or equivalent)

BOX OFFICE: Students assigned to the Box Office will assist with in-person and telephone tickets sales, monitor guest lists and will call for events, dispense programs, collect tickets, guide patrons to open seating. Must be comfortable working directly with the public and acting as a a liaison between the audience and production.

Work schedule will vary on a weekly basis, depending on our performances, and will include nights, weekends and some weekday hours for box office ticket sales... This is a great way to see all of our plays and concerts for free.

Mass Communications

Requirements: Communications majors preferred with some knowledge of Communications facilities. Must be mature and responsible. Must be polite and courteous. Counseling & Career Services Center

The Counseling & Career Services Center offers personal and career counseling to students. In addition to one-on-one counseling, the Center sponsors programs on alcohol awareness, sexual aggression prevention, and a variety of career related topics. The Center holds many large events during the year including career fairs, Health & Wellness Week, and Take Back the Night. Located on the second floor of the Danna Student Center, the Counseling & Career Services Center works with over 40% of the student body on a yearly basis. Criminal Justice

The Department of Criminal Justice offers both a Bachelor's degree and a Master's degree in Criminal Justice.. Work-Study students assist full-time staff in daily office operations. Responsibilities vary on daily bases, but students must understand that they have been hired for “Work-Study”. Whenever they are needed, they must be ready for work; when not working, they will be studying.

The Danna Center and Student Activities act as a foundation for the development of positive and progressive student participation in university life. The Danna Center is a place where students as well as other members of the university community may come together and interact with a sense of unity. The following positions are available for Work-Study students:

Wolf Den Game Room Attendant: Oversee the daily operations and maintenance of the facility.

Duties include: Monitor game room, assist customers, verify and provide refunds on malfunctioning machines, remove trash & litter, maintain shift log, assist vendors with collection verification, assist with other duties as assigned. Must attend orientation/training workshops, must like working with public, be dependable and willing to work evenings and weekends.

Poster Shop Attendant: Oversee the daily operations of the Poster shop facility. Duties include: Development and production (drawing) of banners, poster and matting. Production of buttons, small scale desk-top publishing, order supplies/inventories, maintain equipment, maintain records of job orders & invoices; oversee billings and financial accounts, maintain internal communications to fellow staff and Student Activities office. Reception Area Office Attendant: Assist the Administrative Assistant with general office administration. Film Buffs

Description of Film Buffs Work-Study Program:

Students who qualify for Work-Study employment at Loyola University may apply for work as projectionists in the Film Buffs Program. These students are recruited at the four Summer Job Fairs, interviewed by the Director of the Film Buffs Program, and the Director makes final decisions about who will work as Film Buffs projectionists.

These screenings take place Monday through Thursday nights. Check in for a screening begins one hour before the film is to be screened. Most films at Film Buffs begin at 7:30. Students are thoroughly trained by the Director of the Film Buffs Program as well as mentored by returning, senior projectionists. In addition to screening and being on call for screenings, each Film Buffs projectionist has an additional program-related job to round out weekly work-study hours, such as updating the weekly voice message on the Film Buffs Program extension, 865-2152, giving the titles, times, and locations of films for the week at Film Buffs; and making sure Film Studies Program Semester Schedules and Film Studies Minor brochures are supplied to all brochure locations throughout the campus, including residence hall front desks, as well as other program-related work.

Human Resources Department

The Department of Human Resources consists of three departments: employment, payroll and benefits. The employment department is responsible for the recruitment and referral of qualified applicants for positions within the University. This department is also responsible for the job placement of work-study students. The payroll department is responsible for processing payroll checks for the entire university, including work-study students. The benefits department is responsible for managing all employee benefits: insurance, retirement, vacation & sick days.

The work-study students in the Department of Human Resources will perform basic clerical jobs for all three departments.

Information Technology

Information Technology delivers services to the University community through four groups of professionals: Client Services, Computer Services, Telecommunications and Information Management. Work-Study students will staff three computer labs. Students who wish to be placed in the computer labs should have general knowledge of computers, as they will be required to assist other students using the computer labs. Some basic computer training will be available to students who staff these labs. Work-Study students will be able to expand their own computer knowledge and gain valuable on-the-job training in the use, configuration and management of technology.

Institute for Ministry

The Loyola Institute for Ministry is part of City College. The mission is to prepare women and men for ministry and leadership in the church through professional graduate education and through professional continuing education. Students assist LIM administrative assistants. Institutional Advancement

The Division of Institutional Advancement is comprised of several departments, which include:

Advancement Records: Students will learn data entry and mainframe computer use by assisting with alumni database maintenance and update. Additionally, students will assist with special research projects, filing, mail processing, and photocopying.

Alumni & Parent Relations: Students will learn to create and maintain databases, assist with special event planning, process mail, handle phones, and photocopying.

Annual Fund: Students will learn to use the mainframe computer, assist in preparing direct mail projects and learn to prepare correspondence to donors, routine mail processing and filing.

Development: Students will learn to use the mainframe computer to gather information for reports, create and maintain databases, organize and maintain files, assist with routine mail processing, and assist with stewardship efforts as needed.

Public Affairs: Students will learn to write news releases, public service announcements and feature articles for university publication. Students will work on special projects such as hometown news releases for current graduates, update the media list, compile/maintain information for faculty bio-file and conduct surveys, routine mail processing and general clerical duties.

Publications and Marketing Communications: Students will learn to research, write, edit and proofread articles and/or design a wide variety of publications - both print and online, maintain photo and publications files, assist with routine mail processing and other clerical duties.

Advancement Research: Students will learn to gather information on the mainframe computer and other research sources, learn data entry and assist with special projects, routine mail processing, filing and photocopying.

Institutional Advancement - Vice President and Associate Vice President: Students will learn to prepare check requests, purchase orders and other university forms for routine processing, filing, mail processing and photocopying.

Intercollegiate Athletics & Wellness

Life Guard

Basic Function:  Oversee operations of the facility during shift. This position is a part-time staff position and reports directly to the Assistant Director of the University Sports Complex.

Specific Duties and Responsibilities:

1.         Oversees all functions and activities of the Service Area and Natatorium.
2.         Enforce all facility policies and procedures during shift.
3.         Supervise ID check, court reservations, and equipment checkout.
4.         Assist in maintaining an inventory of equipment in the Service Area. Set up nets   and equipment.
5.         Responsible for cash register during shift.
6.         Monitor and inspect all facility areas regularly for cleanliness and do general pick up; report all maintenance problems to the Associate Director on the Building Manager’s Report: take participation counts, launder towels and do Locker Room checks.
7.         Maintain an awareness of scheduled departmental activities and be willing and able to disseminate information.
8.         Obtain information for Incident Reports and Injury Reports and administer first aid when necessary.
9.         Open/close the facility and insure that the facility and equipment are operational for the upcoming shift.
10.       Responsible for shift coverage if someone does not show or calls in sick.
11.       Open and close doors for groups or individuals that have various rooms reserved. This includes making sure the room is clean and set up properly.
12.       Responsible for hourly building rounds and total security of the Loyola University Sports Complex.
13.       Check all rooms and courts for proper footwear, and verify that the activity taking place is appropriate for the area.
14.       Attend the annual Athletics and Wellness Staff Orientation and regularly scheduled staff meetings.

Customer Service Assistant

Basic Function:  Provide support services to patrons and assist in the overall operation of the University Sports Complex. This person reports directly to the Assistant Director and /or Building Manager for his/her respective shift.Specific Duties and Responsibilities:

1.             Greet each patron entering the Loyola University Sports Complex.
2.             Check all persons upon entrance to facility for appropriate I.D and correct membership status.
3.             Assist visitors by answering questions about membership, facility and all other Athletics and Wellness programs and services.
4.             Enforce all Facility Rules and Regulations.
5.             Check out sports equipment for use in facility.
6.             Take telephone and walk-in reservations for racquetball and tennis courts.
7.             Process daily guest passes to guests of members.
8.             Launder towels as needed.
9.             Route departmental telephone calls to appropriate offices.
10.           Report all injuries and incidents to the Building Manager on duty immediately.
11.           Perform assigned special projects.
12.           Attend the annual Athletics and Wellness Staff Orientation and regularly scheduled staff meetings.
13.           Perform other responsibilities as assigned by the Building Manager.

Facility Monitor

Basic Function:  Provide support services to patrons and assist in the overall operation of the University Sports Complex. This person reports directly to the Building Manager for his/her respective shift.

Specific Duties and Responsibilities:

1.         Wipe down all machines on the 6th floor on the half-hour.
2.         Responsible for running errands as needed.
3.         Check patrons for proper footwear throughout facility.
4.         Enforce all Facility Rules and Regulations.
5.         Able to disseminate policy and procedure to any and all patrons.
6.         Hourly Restroom Checks.
7.         Maintaining patron / student counts throughout entire facility.
8.         Enforce time limits for machines utilized during busy times.
9.         Give tours to new students and / or patrons.

Game Day Operations Staff

Basic Function: Provide support services for all Loyola home athletics events  Assist in the set-up and tear down of playing area- including setting up scoring tables, bleachers, and concession stand. This person reports to the Sports Information Director and/or Assistant Director for operations for his/her respective shift.

Specific Duties and Responsibilities:

1. Operate 35/30 second shot clock during men’s and women’s basketball games.
2. Operate scoreboard/game clock during volleyball, men’s and women’s basketball games and Baseball games.
3. Keep the official scorebook during volleyball, men’s and women’s basketball games.
4. Track Libero statistics during volleyball matches.
5. Assist volleyball referees by tracking whether a ball is in or out of bounds along the back line.
6. Operate the statistics computer during volleyball, men’s and women’s basketball, and baseball games.
7. Spotter for the statistics computer operator during volleyball and men’s and women’s basketball games.
8. Work the concession stand during all home volleyball and men’s and women’s basketball games.  Inventory what is needed after each contest.
9. Sell and take tickets during all volleyball, men’s and women’s basketball, and baseball games.
10. Work as public address announcer during volleyball, men’s and women’s basketball and baseball games.
11. Sell Wolfpack merchandise and raffle tickets.  Work with sponsors, and encourage student participation in promotions.

Work Study Students will staff the department the Center for Intercultural Understanding. They should have good telephone skills and good people skills. Math Lab

The Loyola Mathematics Center is located in room 405 of Monroe Hall. The center offers free peer-to-peer tutoring in mathematics. It has evolved into a multimedia resource center for all Loyola math students. The Math Center is used by chemistry, biology, and other majors as well.
Well-qualified student assistants provide one-on-one tutoring in undergraduate math courses. Interactive computer software and video tapes are available to those who prefer those methods of assistance.
The computer program Mathematica is maintained on the math lab computers for students, particularly those taking Calculus and Differential Equations. Textbooks, instructor's manuals, and other reference materials are on site for most undergraduate math courses taught at Loyola. Assistance using various types of graphing calculators is provided by peer tutors.

Modern Foreign Language Lab

Students who wish to be assigned to this department should be serious students of one of the foreign languages taught in the Department of Modern Foreign Languages and Literatures.

We are interested in having students who are language majors or language minors. Native speakers with an interest in foreign language acquisition and an ability to tutor their language on all levels are needed. In addition to tutoring, other duties include: assisting in running the lab and specific assigned duties, e.g. tape collection, video collection, and computer assistance.

Monk Institute

A Monk Institute internship offers students a unique opportunity to develop nonprofit administration skills while working in a national music education organization and helping to support its performance program at Loyola University New Orleans and Commitment to New Orleans initiative. It also helps students to become familiar with the organizational skills and routines needed to effectively support an organization like the Monk Institute.

Interns will be expected to demonstrate individual initiative and assume specialized duties respective to the following areas:

Music Performance Facilities

The Music Performance Facilities at Loyola University New Orleans include the 600-seat Louis J. Roussel Performance Hall and the 400-seat Nunemaker Auditorium. Ten to twelve technical assistants (TAs) are hired, mostly through the workstudy program, to meet the needs of functions scheduled in the performance facilities.

These TA positions are different in many ways from typical workstudy assignments. TAs do not work a fixed schedule each week. The workload is dependent upon the schedule of the performance facilities. Much of the work takes place in the evenings and on weekends. All TAs are required to attend a weekly meeting on Tuesdays at 12:30, an established campus-wide meeting time during which no classes are scheduled. At this meeting, each TA's schedule is determined for the week beginning on Tuesdays.

TAs working in the performance facilities receive lots of on-the-job training, and most become quite proficient in sound system operation, audio recording, lighting console operation, etc.

TA responsibilities include:

  • Reporting for work at designated call times
  • Stage and foyer set-up
  • Set-up, operation, and strike of sound reinforcement equipment
  • Digital and analog audio recording
  • Stagelight hanging/focusing
  • Rudimentary computerized lighting console operation

  • In general, work-study duties include filing, photocopying, delivering mail, typing and assisting with the daily functions of the Nursing Department.  Immediately after signing in each day, check the work-study file on the student desk for new and daily tasks. 
  • If the work-study file is empty, students are allowed to study and use the computer in designated areas. 
  • Students are allowed a 15-minute break to eat lunch.  Please approve this through the supervisor.
  • Students are expected to wear appropriate clothing, no shorts or tank tops will be permitted.
  • Cell phones should be place on vibrate while in the office.  If you should receive a call or have to place a call, please step outside of the office to do so.

Theatre Arts & Dance

The Theatre Arts Performance Facilities at Loyola University New Orleans include the 150-seat Marquette Theater and the 70-90-seat Lower Depths Theater. Theatre assistants are hired, mostly through the work study program, to meet the needs of departmental productions and other functions scheduled in the performance facilities.

These theatre assistant positions are different in many ways from typical workstudy assignments. Many assistants work a fixed schedule approximately 80% of the time. The remaining workload is dependent upon the schedule of the productions, which may take place in the evenings and on weekends. All assistants are required to attend an orientation meeting the first week of each fall semester. At this meeting, each theatre assistant’s schedule is determined and other important information is given.

Theatre assistants working in the shops, offices, and performance facilities receive lots of on-the-job training, and most become quite proficient in many production aspects of scenery, costuming, lighting and theatre management.

Theatre Assistant responsibilities include:

Job Description
WORK STUDY STUDENT

The Work Study Student assists University Police Officers and security personnel with dispatch duties, entering traffic citations, on-campus safety escorts, act as relief shuttle driver when needed, parking enforcement, mobile patrols for reporting safety hazards and other non-law enforcement duties and/or or clerical duties as designated by the Director of Public Safety/University Police, captain, lieutenant, shift supervisor, and/or administrative assistant or parking coordinator. The position requires the competent use of telephones, two-way radios, computers and office equipment and machinery, and department vehicles.

Visual Arts

GRAPHIC DESIGN & BROADWAY COMPUTER LAB: Students who undertake the duties of monitoring the Visual Arts computer labs must be familiar with Macs and will be instructed on basic troubleshooting.

Monitor use of computers and other equipment in the lab and ensure that lab rules are followed. Report inventory to Eldon Ahrold Lab Tech.
Maintain inventory of all supplies such as paper, ink, etc.
Assist professors as needed.
All monitors must adhere to their committed work schedules.
Keep a personal time log for faculty verification.
Submit time sheets to VISA office before posted deadline.

FOUNDATIONS AREA AND PAINTING AREA : The student who undertakes these duties will be given instructions regarding each area. The student is expected to take notes or keep any handouts associated with these duties.

Basic studio maintenance (sweeping and other light maintenance)
Clean studio sinks once a week.
Assist instructors in these areas as needed (i.e., workshop preparations, etc.).
Perform light clerical duties (filing, copying, slide labeling, class preparations)

DIBOLL GALLERY: Students will work closely with the gallery director. Duties include:
Making sure lights are on and elevator unlocked during gallery hours when shows are up.
Greeting visitors and having some knowledge of the shows.
Being in the gallery during gallery hours, gallery preparation, such as patching & painting walls and hanging or taking down work.
Helping with set up and clean up during openings - This may include some weekend or night work.

Duties:

  • General office work: copying, answering phones, filing, mailings, running errands, data entry
  • Help Director and Assistant with programming, setting up for events
  • Serve as contact person for students
  • Organize student-centered events and participate in those events

Preferred Skills:

  • Web and poster design
  • Interest in women's issues

Writing Across the Curriculum (WAC)

Writing Across the Curriculum supports student writing. WAC helps students develop the skills they need to make the most of their learning experiences. Tutors will assist others in all phases of the writing process, from planning and pre-writing to revising and editing. Work-Study students learn how to: word-process, electronic research, retrieve/send-e-mail, generate PowerPoint presentations, and create web pages. They participate in a semester-long program that helps them become skilled tutors and they attend refresher workshops each subsequent semester on staff.
